Planning Checklist

1) Define the goal

Write a one-sentence goal (e.g., recruit 20 volunteers, register 50 voters, canvass 200 doors). This will guide your format, location, and staffing.

2) Pick the right format

  • Canvassing: door-to-door, requires materials and route planning
  • Phone bank: script + dialer + training for new callers
  • Town hall: agenda, speakers, facilitation, Q&A rules
  • Rally: permits (if needed), safety plan, marshals

3) Publish the details

  • Use a clear title that matches what attendees will do
  • Add meeting points, parking/transit notes, and accessibility info
  • List what to bring and what will be provided

Safety & Community Standards

Event organizers are responsible for setting expectations and maintaining a safe environment. Consider including:

  • A short code of conduct (respectful behavior, no harassment)
  • A contact person for issues during the event
  • De-escalation guidance and clear removal procedures
  • For in-person events: emergency meeting point and basic first-aid plan

Day-of Execution

  • Arrive early and test all equipment (sound, projector, Wi‑Fi)
  • Set up check-in and signage
  • Open with expectations, agenda, and next steps
  • Collect attendee follow-ups (email/phone) and consent where required
  • Close with a clear action: volunteer shift, donation, next event, etc.

After the Event

  • Send a thank-you message within 24 hours
  • Share photos/recap (with permission)
  • Follow up with attendees who opted in
  • Capture notes: what worked, what to improve
